Clinical Assistant – Part time

Job Summary:

This position is primarily a back office assistant that will occasionally perform x-ray duties at outreach locations.

This position is responsible for patient movement coordination. This includes communicating with the patient, registration, medical records requests from patients, attorneys, insurance companies, and vendors. The position will act as an ambassador on behalf of the company with customers, clients, and vendors in public.

Essential Duties and Responsibilities (not limited to):

  • Greet patients and visitors in a prompt, courteous, and helpful manner

  • Oversee waiting area, coordinate patient movement and report problems to immediate supervisor

  • Verify patient paperwork for completion and scan documents, insurance cards(s), and photo identification into EMR

  • Prepare and verify daily deposit for billing, as directed

  • Verify eligibility for upcoming patient appointments

  • Distribute incoming/outgoing facsimiles

  • Process patient requests and respond to general information

  • Respond to information requests from various parties internal and/or external

  • Work cooperatively with patients, vendors, clinical staff, and administrative staff

  • Prepare chart prep completeness and follows up for additional information if necessary

  • Obtain HIPAA release documentation, verification of identity for pick-up of prescriptions and medical records

  • Scanning internal and/or external documentation into appropriate patient records

  • Collection of payment on account(s), Durable Medical Equipment payments, and/or copays

  • Facilitate patient billing concerns to billing company

  • Assist clinical staff with patient form completion

  • Review medical records for completeness and scan documents into EMR

  • Scans processed labs, pathology reports, and loose correspondence into patient records once physician has reviewed and signed appropriately

  • Respond to requests for information from PHI according to established policies and procedures

  • Operate computer to retrieve data and scan signed correspondence and reports

  • Combine duplicate patient records submitted from patient accounts department

  • Complete, mail, fax, and scan physician’s transcription documentation

  • Comply with Federal HIPAA regulations and practice policies for the privacy and security of patient information; explain the law and our privacy policy to patients as needed; maintain appropriate documentation of access to medical records

  • Select, pull, and process files for year-end purging
